General

Who is SysGadh for?

SysGadh is made for aluminium and glass window fabricators. It covers the order from site measurement and quotation to cutting, dispatch and billing, along with purchase, stock, accounts and your team.

What does SysGadh do?

It keeps your whole business in one place: quotations and orders, production and cutting, dispatch, billing, purchase, products and stock, accounts, tasks, sales targets, attendance, lead forms and a project gallery.

Is it only for windows?

It is built around aluminium and glass windows and also handles railing and glass work. Hardware, accessories, services and other items you sell can be added as products too.

Do we need to install anything?

No. It runs in a web browser. Your team logs in with their own email and password from the office, the workshop or the site. For Android phones there is also an app you can download from the Android App page.

Can we use it on a phone or tablet?

Yes. It opens in the browser of a computer, tablet or phone, and Android phones can also use the app from the Android App page, with check in and check out by photo and location. For long data entry, such as a big quotation, a computer or laptop is the most comfortable.

Does it need an internet connection?

Yes. It is online software, so you need an internet connection to use it.

Which language is the software in?

The software is in English.

We run more than one firm. Can we use it for all of them?

Yes. Each firm is set up as a separate company with its own data, users and settings.

Will our own logo appear on documents?

Yes. Your company logo and details appear on quotations, bills and other PDFs, and you can also set a watermark logo.

Getting Started

How do we get started?

Fill in the Request a Demo form. We will call you, show you the software around your work, and then help you set up your account.

Can we see a demo first?

Yes. Send the Request a Demo form or call us, and we will fix a time that suits you.

What do we need to use it?

A computer, tablet or phone with a modern web browser and an internet connection. Nothing else needs to be installed; the Android app is optional.

Can we bring in our existing data?

Measurements, parties and employees can be imported from Excel. Talk to us about your products and window designs and we will guide you.

Is there a format for the Excel import?

Yes. The import screens give you a sample Excel file to fill in, so the columns are always right.

Do we have to set up every product and window design ourselves?

Not always. Our team can copy an existing product and window design setup into your company, which you can then change to suit your work.

What should we set up first?

Your company details, then your products and window designs, then your employees and what each of them can access. After that you can start making quotations.

Will you help us learn the software?

Yes. We walk you through it in the demo and help you when you start. You can reach us by email or phone at any time.

Quotation & Orders

What is the Quotation module?

It takes each order through four steps: Order, Production, Dispatch and Billing. The measurement becomes the quotation, the confirmed quotation becomes the cutting plan, and the same order carries on to dispatch and bills.

Can we enter sizes in inches and in millimetres?

Yes. Each quotation is in inches or millimetres, and switching it converts the sizes for you.

What are the measurement formats?

Inch To Inch, Actual and 3 Inch Difference. The format you choose decides how sizes are taken for the rate calculation.

Can we import measurements from Excel?

Yes. Download the sample file from the quotation, fill in your sizes and import it. The lines come into the quotation for you to check and save.

What is a site measurement?

A way to record sizes, along with site photos, while you are at the site. You turn it into the quotation later, without typing the sizes again.

What can we add to a quotation?

Sliding and casement windows, glass, railing, extrusions and other products. Each line carries its own size, quantity and rate.

Can each line have its own glass, finishing and lock?

Yes. For each line you choose the glass, the finishing type and colour, and the lock type, and add a remark if needed.

Can we charge for edge polishing, design work, holes and cut-outs on glass?

Yes. Glass lines can carry edge polishing, design process, service, hole, cut-out and other charges, each with its own quantity and rate.

Can we quote for railing?

Yes. Pick the railing type, design and top pipe and enter the lengths. Railing designs are set up once in Products.

Can we give a discount or add other charges?

Yes. Add a discount, an extra charge with your own name for it, and GST to reach the grand total.

Can we add our terms and conditions?

Yes. Keep your terms and conditions as templates, pick one on the quotation and change the text for that customer if needed.

Who can be linked to a quotation?

The billing party and ship-to party, the salesperson, the architect, the skilled worker and the channel partner, along with the project name, order date and delivery date.

What is rate analysis?

A line-by-line view of material cost and margin, so you can check the price before you send the quotation. It can also be printed as a PDF.

How do we send a quotation to the customer?

Download the quotation PDF, with your logo and terms, and send it to your customer.

The customer asked for changes. Do we start again?

No. Make a re-quotation from the existing one and change only what is needed.

Can we record why an order was lost?

Yes. When you cancel a quotation you pick a reason, such as rate issue, payment issue, wastage issue or stock availability, so you can see later why orders were lost.

How do we find a quotation quickly?

Use the tabs for all, open, confirmed, delivered and cancelled quotations, search the list, and narrow it down with filters, for example by salesperson.

Can a lead become a quotation?

Yes. A lead that came in through a lead form can be picked as the project when you make the quotation.

Production & Dispatch

How is cutting planned?

Confirmed orders move to the Production step, where you plan the cutting. An order can be cut in more than one batch, and every batch is kept with the order.

Which workshop reports can we print?

Measurement list, cutting list, glass list, trade list, finishing list, labour charges, wall chart and stickers. Some of them can also be downloaded in Excel.

What does the cutting optimizer do?

It lays out the cuts on your profile lengths to reduce wastage, and gives a cutting layout and a summary you can print.

Can we send an order in parts?

Yes. Make as many delivery challans and gate passes as the order needs. Each one is kept in the order's history.

What is the difference between a delivery challan and a gate pass?

A delivery challan goes with the material to the customer. A gate pass records material leaving your premises, including tools and other company assets that come back later.

Can we keep track of tools sent to site?

Yes. Send them on a gate pass as fixed assets with the person responsible, and mark them as received when they come back.

What are the quality checklists?

Site and dispatch checks against a checklist that you set up. The result can be shared with the customer through a link.

Can we see which orders are delivered?

Yes. Delivered orders have their own tab in the quotation list.

Billing & Accounts

Can we make a proforma invoice?

Yes. Make a proforma invoice for the order before the final bill.

Can one order have more than one bill?

Yes. Bill the whole order at once or in parts. Every bill made for the order is kept with it.

Can bills be GST inclusive or exclusive?

Yes. Choose GST inclusive or GST exclusive on each sales bill.

Can we make a bill without a quotation?

Yes. Party billing lets you bill a party directly, without an order.

Can a bill be edited after it is saved?

Yes. Admins can also mark bills as audited and delete a bill when needed.

Do bills go into the accounts by themselves?

Yes. Entries made by bills and transactions appear in the books and stay locked there, so the accounts stay consistent with the work.

Which accounting features are there?

Parties, ledger groups and ledgers, receipts and payments, journal entries, cash in hand, profit & loss and balance sheet.

Can we print a ledger or a confirmation letter?

Yes. For any party you can print the ledger report, a confirmation letter and cover printing.

Where is the financial year set?

The financial year end month is part of your company settings and is used for yearly periods, such as sales targets.

Does it file GST returns?

No. SysGadh keeps your business records and books for day-to-day work. For GST returns, share its reports with your accountant.

Products & Stock

What can we keep as products?

Window designs, aluminium extrusions, glass, railing, locks, rubber, wool pile, silicone, mosquito net, edge and design process work, services, trade items and fixed assets.

How is a window design set up?

Add its tracks, and for each track the profiles, glass, hardware and other parts with their quantities. Every quotation then uses this setup.

How are railing designs set up?

Build each railing product from its top pipes, profiles, gaskets and trade items.

Can we keep finishing rates for each profile?

Yes. Keep finishing types such as powder coating, anodized, PVDF, wooden and mill finish, their colours, and the purchase and sale rate of each finishing for each profile.

Can we keep product codes, weight, HSN and GST?

Yes. Each product has its code, weight, HSN code, GST, purchase and sales rate, and purchase and sales unit.

Does it keep stock?

Yes. Keep opening stock and the current quantity, see low-stock items, and print a stock report.

Yes. Each product can have its photo.

Which purchase orders can we make?

Purchase orders for aluminium extrusions, glass and other products, and job work orders for finishing such as coating or anodizing.

What is SOP & Tasks?

Tasks broken into stages, each with a manager, the employee who does it, and a start and end time. Use it for standard work that must be done the same way every time.

Can tasks repeat on their own?

Yes. A task can be one time, daily, weekly, monthly, quarterly, half-yearly or yearly. Repeating tasks are created automatically every day, and repeating can be switched off.
